Onboarding guide

Managed IT onboarding: what happens in the first 30 days

Good onboarding takes about a month. Week one secures admin access and gets monitoring and the help desk running. Week two closes urgent security gaps. By the end of the month you have documentation, a findings report and a prioritized roadmap, and no surprise changes on employee computers.

Week 1: access, inventory and help desk

The goal is visibility before any big change.

Admin access handover

We collect and verify admin credentials for Microsoft 365, the domain registrar, DNS, the firewall, backups and key vendor portals, and store them in a documented password vault.

Monitoring agents

Our monitoring agent goes on every workstation and server so we can see health, patch status and alerts.

Help desk setup

Employees get the 24/7 help desk phone number and the support email.

Inventory

Users, devices, licenses, network gear, printers and vendors are listed with age and warranty dates.

Week 2: close the urgent gaps

MFA and stale accounts

MFA is turned on where it is missing, former employees are removed and admin rights are limited.

Backups confirmed

We check what is backed up, fix failed jobs and run a test restore.

Patching

Missing operating system and security updates are scheduled outside business hours.

Endpoint protection

Every device gets working endpoint protection. If you add SOC monitoring, alerts also flow to our security team and its hosted 24/7 security operations center.

Weeks 3 and 4: document and plan

Network documentation

Diagrams, firewall rules, Wi-Fi settings and vendor contacts, written down in a form you own.

Findings report

What we found during onboarding, ranked by risk, with an estimated cost to fix each item.

First roadmap meeting

We walk leadership through priorities for the next quarter and the next year: replacements, projects and budget.

What does onboarding cost, and what do you provide?

Cost

Onboarding is a one-time cost, estimated separately in our quote calculator and confirmed after the assessment. The monthly rate is $185 per user per month for 1-10 users, $165 for 11-25, $150 for 26-50 and $140 for 51-100.

Your time

A point person who can approve access and answer questions, plus a short kickoff call and a roadmap meeting with leadership.

Your old provider

Their cooperation on credentials and documentation. If they are slow, we work around it, but it adds time.

What should not happen during onboarding?

These are warning signs with any provider, including us.

Big changes in week one

Replacing firewalls, migrating email or reimaging laptops before anyone has documented the environment.

Old backups deleted too early

The previous backups should stay until the new system has completed and passed a test restore.

Tools removed without a plan

Working security or backup tools should be replaced on a schedule, not pulled out on day one.

Nothing in writing

If you reach day 30 without documentation, a findings report and a roadmap, onboarding is not finished.

Checklist

Work through this list before the assessment call

  1. Name an internal point person.
  2. Gather admin credentials or the names of whoever holds them.
  3. List vendors with account numbers and support contacts.
  4. Note the urgent problems you want fixed first.
  5. Tell staff who their new help desk is.
  6. Put the first roadmap meeting on the calendar.

FAQ

Questions about this guide

How long does managed IT onboarding take?

About a month for a single office. Help desk support starts in the first week, and documentation and the roadmap are done by the end of the month. More sites or missing credentials add time.

Will onboarding interrupt employees?

Very little. Most of the work happens in the background. Changes that affect users, such as MFA enrollment or a new laptop, are announced ahead of time.

What if our old provider will not cooperate?

We can usually recover access through Microsoft, the domain registrar and hardware vendors with proof of ownership. It takes longer, which is why securing credentials before giving notice matters.

What should leadership have after 30 days?

Working monitoring and backups, a list of every admin account, network documentation, a ranked findings report and a roadmap with a budget.

Do we need new hardware before onboarding?

Usually not. We start with what you have and list anything near end of life in the findings report. Replacements go on the roadmap with a budget instead of being rushed in the first week.
